Business Travel from Lusaka: How to Plan Trips Without Hassle

Visas, connections, changes and costs: a practical guide to planning business and investor travel to and from Zambia, and when a travel agent saves you money.

For many Zambian businesses, travel is part of how deals get done - meeting suppliers, visiting partners, attending trade fairs, or bringing investors and specialists into the country. The fare is rarely what makes a trip expensive. The costly mistakes are the visa you didn't know you needed, the connection that was too tight, and the ticket that couldn't be changed when the meeting moved.

Here is how to plan business travel properly.

Check visa and entry rules first

Before you book anything, confirm the entry requirements for every country on the route - including any country where you connect, if you need to pass through immigration there. Requirements depend on your nationality and the purpose of your trip, and they change.

The same applies in reverse when you bring visitors to Zambia. Zambia's new immigration law defines business visitor pathways separately from work permits. A visitor coming for meetings is treated differently from a specialist coming to do hands-on work, who may need a short-term work permit. Getting this right protects both the visitor and your company.

Choose routes and connections carefully

  • Allow enough connection time. A cheaper itinerary with a tight connection can cost far more if you miss the onward flight.
  • Keep it on one ticket where possible. If connecting flights are on separate tickets, the airline may not rebook you when a delay causes a missed connection.
  • Think about arrival time. Arriving the evening before an important meeting is usually worth more than the saving on an early-morning flight.

Pay for flexibility when plans may change

Business plans move. Compare the fare rules, not just the price: change fees, refund conditions and whether a name can be changed. A slightly higher flexible fare often costs less than a cheap ticket you have to throw away.

Keep travel documents in order

  • Passports should have plenty of validity left and blank pages.
  • Carry printed copies of visas, invitation letters and hotel bookings.
  • For investors and new foreign staff, line up immigration paperwork before the flight, not after arrival.

When a travel agent is worth it

Booking online works for simple trips. An agent earns their keep when trips are complex, when several people travel together, when plans are likely to change, or when visas and permits are part of the picture. You also get one person to call when something goes wrong mid-trip.

How Rayema Enterprise helps

Our Flight & Travel Booking service, as a registered Qatar Airways agent, covers:

  • Domestic and international flight bookings.
  • Itineraries planned around visa requirements and connection times.
  • Corporate travel management for teams and frequent travellers.
  • Changes and rebookings handled for you.

And because we also handle immigration, we can line up permits for investors and foreign specialists travelling to Zambia in the same conversation.

Frequently asked questions

Do I need a visa to connect through another country?

It depends on your nationality, the airport and whether you stay airside. Always check the transit rules for every stop before booking.

Can a foreign specialist come to Zambia on a visitor visa to install equipment?

Usually not. Zambia's new immigration law separates business visits from work. Hands-on work generally needs a work permit, such as a short-term work permit. Ask us before the person travels.

Is it cheaper to book flights myself?

For simple trips, sometimes. For complex itineraries, group travel or trips likely to change, an agent often saves money by choosing the right fare rules and handling changes.

Can you manage travel for our whole company?

Yes. We offer corporate travel management, including bookings, changes and travel records for your team.
